Label File Not Found or Insufficient Permissions – Loftware Cloud Workflow Error Guide

Target Audience: Advanced User, IT Manager, Basic User

Article #: 13582

Summary

This Error Message Article explains the Loftware Cloud (NiceLabel) error message “An error occurred while trying to execute ‘Open Another Form’ action. File not found or not enough permissions to access the file.” This article details the underlying cause and how to resolve it.

Explanation

This error appears in the Loftware Web Client or NiceLabel Print application when a form or solution attempts to open a label file that either does not exist at the referenced path, or cannot be accessed by the current user.

The most common cause is a label file that has not been published in Loftware Cloud. Loftware Cloud uses a workflow and publishing system to control which version of a file is visible to different Access Roles. By default, the Operator role (and other non-Administrator roles) can only see published versions of files — they cannot see draft, checked-out, or unpublished files.

This means that even if a label file exists in the correct folder and the user’s role has Read access to that folder, the file will appear as if it doesn’t exist to that user if no published version is available.

As shown above, the Operator role has Read access to files and folders, but the ‘Show unpublished files’ workflow permission is not enabled. This means Operator users cannot see any label that has not been formally published causing the solution referencing that label to throw a file-not-found error.

Common Scenario

  • A new label is created and placed in the correct folder in Loftware Cloud.
  • An Administrator can open and print the label without issue because Administrators can see all file versions.
  • An Operator user receives the error because no published version of the label exists yet.
  • This discrepancy is especially easy to overlook when approval workflows are active, as the file may be awaiting approval before it can be published.

Quick Fixes

Step 1 — Publish the Label File

The primary fix is to publish the label file in Loftware Cloud. Once published, the file becomes visible to Operator and other non-Administrator roles.

  1. Log in to Loftware Cloud as an Administrator.
  2. Navigate to the folder containing the label file.
  3. Locate the label file and check its status. If it is in Draft or awaiting approval, complete the approval workflow or publish it directly.
  4. Once published, have the affected user close and reopen the Web Client or Print application and attempt the action again.

Step 2 — If the Error Persists After Publishing

If the user still receives the error after the label has been published and they have restarted the application, temporarily assign the user an Administrator role to determine whether the issue is access-rights related rather than a publishing issue.

  • If the error goes away with Administrator role, the issue is a permissions or folder-level access rights configuration for that user’s role.
  • If the error persists even with Administrator role, the label file path referenced in the solution or form may be incorrect or the file may have been moved.
